Privacy Notice

This notice explains what personal data GolfTimr collects, why we collect it, who we share it with, and the rights you have. The data controller is Jake Beardsley trading as GolfTimr.

1. Who we are

GolfTimr is the trading name of Jake Beardsley. Jake Beardsley trading as GolfTimr provides pace-of-play software for golf clubs and is the data controller for the personal data described in this notice. For any privacy question or request, contact us at support@golftimr.com.

Where a golf club uses GolfTimr to process information about its own members and visitors, the club is the controller of that data and GolfTimr acts as its processor.

2. What we collect and why

  • Account data — club name, contact name, email address, postcode, club website and login credentials. Used to create and secure your account and to provide the service. Legal basis: performance of a contract.
  • Tee sheet and round data — group names, tee times, and checkpoint times recorded on course. Used to display pace of play and reporting to the club. Legal basis: performance of a contract and our legitimate interest in operating the service.
  • Support messages — the name, email, club and message you send us through the support form or by email. Used to answer your query. Legal basis: legitimate interests.
  • Usage and technical data — log records, device and browser information, approximate location derived from IP address, and error diagnostics. Used for security, fraud and trial-abuse prevention, showing prices in your local currency, and improving the product. Legal basis: legitimate interests.
  • Marketing preferences — where you opt in to product updates. Legal basis: consent, which you can withdraw at any time.

Golfers using the public checkpoint pages do not need an account; we record only the tee time selected and the time the checkpoint was tapped.

3. Who we share data with

  • Service providers — hosting, database, email delivery and error-monitoring providers who process data on our instructions.
  • Paddle.com — our Merchant of Record, which handles the sale of subscriptions, payments, billing, invoicing, subscription management and sales-tax compliance. Paddle processes payment details directly; we never see full card numbers.
  • Professional advisers — legal, accounting and insurance advisers where necessary.
  • Authorities — where we are required to disclose information by law or to protect legal rights.

We do not sell personal data.

4. International transfers

Some of our providers process data outside the UK and EEA. Where that happens we rely on appropriate safeguards such as UK/EU Standard Contractual Clauses or an adequacy decision.

5. How long we keep data

Account and club data is kept for as long as your subscription is active and for up to 12 months after it ends, so you can reactivate without losing history. Support messages are kept for up to 24 months. Billing records are kept for as long as tax law requires (typically six years). After those periods data is deleted or anonymised.

6. Your rights

Under UK and EU data protection law you have the right to access your personal data, to have it corrected or erased, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent. Email support@golftimr.com and we will respond within one month. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk) or your local supervisory authority.

7. Security

We use appropriate technical and organisational measures to protect personal data, including encryption in transit, database-level access controls that keep each club's data separate, and restricted staff access on a need-to-know basis.

8. Cookies

GolfTimr uses essential cookies and similar browser storage to keep you signed in and to keep the service secure; these are required for the site to work. Our checkout provider, Paddle, may set cookies needed to complete a purchase. We do not use advertising cookies. You can clear or block cookies in your browser settings, though signing in will not work without the essential ones.

9. Changes to this notice

We may update this notice as the service develops. The date at the top of this page shows when it was last revised, and we will tell account holders about material changes.
